Moving Into Rossmoor: A Move-In Guide for Families

Moving into Rossmoor goes smoothly when you clear your movers at the gate ahead of time, get your Mutual's rules in writing, and measure your furniture against the new manor's floor plan. This guide covers each step of a Rossmoor move-in in Walnut Creek, from the paperwork to the first night. It uses Rossmoor's own published rules, and it tells you plainly where Rossmoor leaves the details to your Mutual.

The Short Version

Moving into Rossmoor is like moving into any condo, with three extra steps. Your movers have to be cleared at the gate. Your Mutual has its own rules. And most Rossmoor manors are smaller than the home your family is leaving.

We are JH Moving, a licensed Bay Area mover (Cal-T201700). A family home in the East Bay into Rossmoor is the senior move we see more than any other, and our senior moving service is built around it. This guide is for the person moving and for the adult child helping. It is useful whether you hire us or not.

Here is the order that works:

  1. Find out which Mutual the manor is in and get its moving rules in writing.
  2. Get the floor plan and measure your furniture.
  3. Decide what is not coming, and plan where it goes.
  4. Set up gate clearance for your movers.
  5. Pack, move, and set up the bed and bathroom first.

What Rossmoor Is

Rossmoor is a gated community for active adults 55 and older, inside the city of Walnut Creek. It opened in 1964. Today it has nearly 10,000 residents and 6,676 homes spread across 1,800 acres of hills in Tice Valley, off Interstate 680 and Highway 24.

Rossmoor uses its own words, so learn these first:

  • Manor is your home. Not an apartment or a condo, a manor.
  • Mutual is your homeowners association. There are 23 of them.
  • Coupon is your monthly fee.
  • Entry is a side street or driveway off a named street. You will use this word when you give directions.

There are four kinds of homes:

  • Co-ops. Three Mutuals with 3,368 manors. You own a share in the corporation, not the unit itself. Each co-op unit gets one covered carport.
  • Condos. Nineteen Mutuals with 3,245 manors. You own the unit. Parking ranges from an enclosed garage to a covered carport, depending on the manor.
  • Single-family homes. Mutual 61, with 63 detached homes.
  • The Waterford. A 300-unit condo building with one daily meal and weekly housekeeping. It has its own staff and is not managed the same way as the other Mutuals.

One more thing families often miss: Rossmoor is independent living. Rossmoor says plainly that there is no assisted living or caregiving service inside the gate. If a parent needs daily help, that help has to be hired privately.

The Paperwork Before Move Day

The Rossmoor move-in starts long before the truck shows up. Rossmoor's ownership guide lays out the steps a buyer goes through.

Mutual approval. Most Mutuals review a membership application to check that the new resident meets their rules. The three co-op Mutuals also have income and asset requirements. Your real estate agent will walk you through this, but do not book a move date until approval is done.

Age rules. At least one person living in the manor must be 55 or older. Anyone else must be 45 or older, unless they are a caregiver. No one under 18 can live in Rossmoor.

The transfer fee. Buyers pay a one-time Membership Transfer Fee at purchase. As of April 1, 2026, it is $18,000.

Your own insurance. Rossmoor's master insurance policy covers the buildings and common areas in most Mutuals. It does not cover your furniture, artwork, or other belongings. Get your own policy in place before move day, so your things are covered the moment they come through the door.

Remodel permits. Planning new floors, a chairlift, or other changes? Rossmoor's Alterations and Resales Department handles remodel permits, and it has standards for things like hard surface flooring. Finish that work before you move in. Moving furniture around a flooring crew costs everyone time.

Your Mutual's moving rules. This is the big one. Each Mutual's board sets its own policies. Rossmoor does not post one set of moving hours or truck rules for the whole community. So call your Mutual, or The Waterford's front desk, and ask:

  • Are there set hours or days for moving?
  • Is there an elevator to reserve or pad?
  • Is a deposit or a mover's insurance certificate required?
  • Where should the moving truck park?

Get the answers in writing. Then send them to your mover.

Gate Access: How Your Movers Get In

Rossmoor's front gate is staffed 24 hours a day by its security company. Residents drive through in their own lanes using a tag on their car. Everyone else needs clearance. Rossmoor's FAQ says the gate lets in "residents and approved guests and vendors," and your moving crew falls in that group.

Here is the guest clearance process Rossmoor publishes on its Public Safety page:

  1. The resident asks for guest access and says how long it should last, up to 30 days. This can be done by phone or in person.
  2. The first time a guest comes in, they show a driver's license at the front gate. The gate scans it.
  3. The guest gets a paper pass to keep on the dashboard.
  4. After 30 days, a new scan is needed.

Rossmoor also lists a self-service online portal for short-term passes.

The phone numbers you want:

A few tips from the moving side:

  • Call a few days ahead. Ask how they want a moving truck and crew listed. Rossmoor does not publish a separate vendor process online, so ask.
  • Know who is sponsoring. If the new owner does not have resident status yet on move day, ask who can clear the movers.
  • Clear more than one vehicle. A move can mean the truck, a second crew car, and family cars. Ask how to list each one.
  • Get your own tag. To get a resident access tag for your car, bring your car to the Public Safety Office with your driver's license, proof of insurance, and registration.

Trucks, Parking, and Rossmoor Streets

Rossmoor's streets have a 25 mph speed limit because golf carts are allowed on every road inside the gate. Expect slow traffic, carts, and people walking. A good crew drives it gently.

Rossmoor does not post a truck size limit on its public pages. It also does not post moving truck parking rules for the whole community. That is why the Mutual question above matters so much. Your manor may have a carport, a garage, or shared parking, and the truck has to fit somewhere close without blocking neighbors.

The land is hilly and the roads wind. Some entries are short and tight. Rossmoor posts a street and entries map on its website that you can download. Send your mover the manor address, the entry name, and the parking spot number. A walkthrough or a few photos of the approach will tell the crew where the truck can stop.

Building Types and What They Mean on Move Day

Rossmoor's floor plans run from one-bedroom manors to 3-bedroom townhouses. That means some homes are on one level with a ground-floor door, some are up a flight of stairs, some are in buildings with elevators, and townhouses have stairs inside.

Rossmoor runs a Stair-Trac service that helps residents in wheelchairs get up and down stairs. That alone tells you plenty of manors have steps. If your parent will use it after the move, the number is (925) 988-7899. It runs 7 days a week, 8 a.m. to 4 p.m., with 20 free trips per manor each year.

On move day, stairs, elevators, and long walks from the truck add time. At JH Moving, they do not add fees. We bill the hours we work, with no surcharge for stairs or long carries. If your building has an elevator, ask your Mutual whether it needs to be reserved or padded, and tell us before the move.

Move-Day Timing

Rossmoor does not publish community-wide moving hours. Your Mutual may have its own, so ask. Beyond that, a few things help:

  • Pick a weekday if you can. Rossmoor's main office is open Monday to Friday, 8 a.m. to 4 p.m. If a gate or parking question comes up, someone is there to answer it.
  • Start in the morning. A move into Rossmoor from a 3-bedroom family home often runs 7 to 12 hours of crew time, and a 4-person crew is often the right size. A 2-bedroom downsizing move is usually 5 to 9 hours with 3 movers. A morning start leaves time to set up before dark.
  • Pack on a separate day. For anything bigger than a 1-bedroom, we suggest packing the day before. Two shorter days are easier on everyone, especially the person moving.
  • Set up the bed and bathroom first. Make the bed. Put medications, glasses, and toiletries in reach. Then the kitchen, so morning coffee is easy.

Sizing Furniture for a Rossmoor Manor

Rossmoor posts hundreds of floor plans online, each with a PDF you can print. The plans on that page run from about 700 square feet to about 2,300 square feet. Many families are moving from a house two or three times bigger.

Here is how to size it up:

  1. Find the exact plan. Ask the listing agent which plan the manor uses, then download it.
  2. Measure the big pieces. Sofa, dining table, bed, dressers, china cabinet, desk. Write down length, width, and height.
  3. Check the doors and halls. A long sofa may need to turn through a narrow entry. Measure the diagonal of anything large.
  4. Draw it out. Sketch the plan to scale on graph paper. Cut out paper shapes for each piece and move them around.
  5. Plan for less storage. Count closets and cabinets. Many manors have far less storage than a family home with a garage.

Beds, tables, and desks often have to come apart to get into a manor. Our crew takes them apart and puts them back together as part of every move. See our furniture assembly and disassembly page for what that covers.

What to Downsize First

Start with the things that take up the most room and get used the least:

  • The garage. Tools, ladders, and yard gear have nowhere to go in a manor. Rossmoor handles exterior maintenance and landscaping in most Mutuals.
  • Extra bedroom furniture. A guest room set rarely fits.
  • Formal dining. A table for ten becomes a table for four.
  • Duplicates. Two sets of dishes, three vacuums, closets full of linens.
  • Big entertainment pieces. Rossmoor includes cable TV, so the old satellite gear can go.

Keep the pieces that matter most and fit best. Then plan where the rest goes: family, consignment, donation, or the dump. Each takes time to set up. Our guide to senior downsizing in the Bay Area walks through the whole sorting process and what to do with what is left.

If some things are still left on move day, our crew can haul them away on the same trip with our junk removal service. Dump fees are passed through at cost and quoted upfront.

Utilities and Services

The coupon covers more than most families expect. Here is what Rossmoor says is included and what is not.

Included for every resident:

  • Comcast cable TV (the Ultimate TV + Sports package) and high-speed internet. Rossmoor lists its own Comcast customer service line at 1-800-407-2997.
  • The weekday Dial-a-Bus, which picks up at your entry. Call (925) 988-7676 at least an hour ahead.
  • Gate security, clubhouses, pools, and the fitness center.

Included in most Mutuals:

  • Water, trash, and recycling. Mutual 61, the single-family homes, does not cover water or trash.

Not on Rossmoor's included list:

  • Electricity and gas from PG&E. Plan to set up service in your name, and check with your Mutual.
  • Insurance for your own belongings.

Recycling after the move. Rossmoor's blue bins take flattened cardboard, paper, plastic containers, metal, and glass. They do not take plastic bags, Styrofoam, batteries, or electronics. That matters when you unpack a whole house worth of boxes.

Getting Help With a Rossmoor Move

Some families handle all of this on their own. Others want a professional to run the sorting, floor plan, and move day. That is the job of a senior move manager, and our guide to senior move management in the East Bay explains what they do and how to hire one. We work beside move managers often.

Our part is the physical move. We pack, load, drive, carry, take furniture apart and put it back together, and set up the new manor. We bill by the hour: $150 for 2 movers, $200 for 3, and $250 for 4. California double drive time applies, as state law requires. Every estimate includes a written Not to Exceed price. We are fully insured, and basic valuation of $0.60 per pound per item comes standard. Learn more about how we handle a senior move with patience and care.
